Terms of Service

Important: By creating an account, accessing, or using GolfStax, you agree to be bound by
these Terms of Service. If you do not agree, do not use the platform. If you are under 18, your parent or
legal guardian must agree to these terms on your behalf.
1. Overview
GolfStax ("Platform," "Service," "we," "us," or "our") is a web-based golf tournament management platform
designed to serve golf programs of all types — including high school programs, junior golf organizations,
golf clubs, independent coaching programs, and course-based leagues. The Platform serves coaches, tournament
directors, players, parents/guardians, and spectators. The Platform is owned and operated by CnR Assets, LLC
("Operator," "Company").
GolfStax provides tools for:
- Tournament creation, configuration, and management
- Player registration, rostering, and scoring
- Real-time leaderboard and live scoring for spectators
- Coach and tournament director administration
- Parent/guardian access to player scores and tournament information
- Player self-service portals (check-in, score entry, scorecard viewing)
- Spectator tournament following and engagement features
2. Eligibility
You must meet the following criteria to use GolfStax:
- Tournament Directors & Coaches: Must be 18 years or older and authorized by their
school, organization, club, or governing body to manage athletic programs or golf teams.
- Players (Age 18+): May create and manage their own accounts.
- Players (Ages 13–17): May use the Platform with verifiable parent or
legal guardian consent. Consent is obtained at account creation. By activating a player
account for a minor, the parent or guardian acknowledges and agrees to these Terms and our Privacy Policy on the minor's behalf.
- Players (Under 13): GolfStax is not intended for children under 13
years of age. Accounts for children under 13 will not be created without verified parental consent in
compliance with COPPA (see Section 4). Organizations wishing to enroll participants under 13 must
contact us for a parental consent process.
- Parents/Guardians: Must be 18 years or older and the legal parent or guardian of a
player using the Platform. Parent/guardian accounts receive view-only access to their child's scores,
tournament history, and team information.
- Spectators: Spectators may browse public tournament data without an account. Account
creation for spectator features (e.g., following tournaments, receiving updates) requires being at least
13 years old, or having parent/guardian consent if under 13.
Note on Program Types: GolfStax supports a variety of golf programs including, but not
limited to: public and private high school teams, junior golf organizations (e.g., PGA Junior League, First
Tee, AJGA-affiliated programs), youth and recreational golf clubs, independent coaching programs, and
course-based leagues. All eligibility requirements above apply regardless of program type.
3. User Accounts
3.1 Account Types
GolfStax supports the following account types:
- Staff accounts — Tournament directors, coaches, tournament managers, rules officials,
and system administrators
- Player accounts — Athletes linked to a school, club, or organization roster
- Parent/Guardian accounts — Parents and legal guardians linked to player accounts for
view-only access
- Spectator/Pending accounts — Free accounts for following tournaments, viewing public
data, and receiving updates
3.2 Account Creation & Security
When creating an account, you agree to:
- Provide accurate, current, and complete information
- Maintain the security of your password and account credentials
- Not share your account credentials with others
- Promptly notify us of any unauthorized access to your account
- Accept responsibility for all activities that occur under your account
We reserve the right to suspend or terminate accounts that violate these terms, contain false information, or
are used for unauthorized purposes.
3.3 Google Sign-In
GolfStax offers Google Sign-In as an authentication method. By using Google Sign-In, you authorize us to
access your Google profile information (name, email address, and profile image) as outlined in our Privacy Policy. Your use of Google Sign-In is also subject to Google's Terms of Service.
3.4 Account Linking & Organization Affiliation
Player and parent accounts may be linked to schools, clubs, or organizations via activation codes, join
codes, or roster matching. You represent that you have legitimate authority or connection to any
organization you affiliate with. Misrepresenting affiliation is grounds for immediate account termination.
4. Minors & Parental Consent (COPPA / FERPA Compliance)
GolfStax is committed to protecting the privacy and safety of minors. Because golf programs frequently
include participants under 18, we have implemented the following safeguards:
- Children Under 13: GolfStax is not designed for direct use by children under 13. We do
not knowingly create accounts for or collect personal information from children under 13 without
verified parental consent. If an organization wishes to register players under 13, the organization's
administrator and each player's parent/guardian must provide consent. If we discover we have collected
information from a child under 13 without proper consent, we will promptly delete it.
- Minors Ages 13–17: Player accounts for minors ages 13–17 require parent or
legal guardian consent. Consent is obtained during account activation. The coach or program
administrator who adds minors to a roster represents that they have obtained or will obtain parental
consent for each minor's participation. By activating a player account, the parent/guardian consents to
the collection and use of data as described in our Privacy Policy.
- School Programs (FERPA): For players enrolled through school athletic programs,
GolfStax operates as a "school official" with a legitimate educational interest under FERPA. Player
records are considered education records and are handled accordingly. Schools are responsible for
providing any required FERPA notices to parents.
- Non-School Programs (Junior Golf / Clubs): For players enrolled through non-school
organizations (clubs, junior golf programs, independent coaches), the organization is responsible for
obtaining and maintaining verifiable parental consent before creating accounts for minors. Organizations
must maintain their own records of consent and make them available upon request.
- Parental Rights: Parents/guardians may at any time:
- Review their child's personal information stored on the Platform
- Request modification or correction of their child's data
- Request deletion of their child's account and all associated data
- Revoke consent for their child's participation

- Limited Data Collection for Minors: For players under 18, GolfStax collects only the
minimum data necessary to operate the service: name, grade/graduation year, team assignment, and golf
scores. We do not collect social media profiles, photos (unless uploaded by a coach/admin), financial
information, or geolocation data from minor players.
5. Acceptable Use
5.1 You Agree NOT To:
- Use the Platform for any unlawful purpose or in violation of any applicable laws or regulations
- Intentionally submit false, fraudulent, or misleading scores, player information, or tournament data
- Attempt to manipulate leaderboards, standings, or tournament results
- Access, tamper with, or use non-public areas of the Platform, its systems, or its technical delivery
systems
- Attempt to probe, scan, or test the vulnerability of the Platform or breach any security measures
- Interfere with or disrupt the integrity or performance of the Platform
- Scrape, harvest, or collect information from the Platform using automated means without express written
permission
- Impersonate any person or entity, or falsely represent your affiliation with a person, organization, or
school
- Use the Platform to harass, bully, threaten, or intimidate any other user
- Transmit any viruses, worms, or malicious code
- Use the Platform in any way that could damage, disable, overburden, or impair its operation
- Circumvent any access controls, rate limits, or usage restrictions
5.2 Score Integrity
GolfStax provides tools to facilitate accurate score recording. Tournament directors and coaches are
ultimately responsible for verifying and attesting to the accuracy of scores. Users who intentionally submit
false scores may be permanently banned and reported to the relevant governing body (e.g., UIL).
5.3 Tournament Governance
GolfStax is a technology platform that facilitates tournament management. Rules of play, eligibility
decisions, and competition governance remain the sole responsibility of the hosting organization, tournament
director, and applicable governing body (e.g., UIL, GHSA, TAPPS, SPC, AJGA, PGA Junior League, USGA, etc.).
GolfStax does not make rulings and is not liable for any competitive or eligibility decisions.
6. Data, Scores & Content
6.1 Your Data
You retain ownership of the content and data you submit to GolfStax, including scores, player information,
and tournament configurations. By submitting data to the Platform, you grant us a non-exclusive, worldwide,
royalty-free license to use, store, display, reproduce, and distribute your content solely for the purpose
of operating and improving the Platform.
6.2 Public Tournament Data
Tournament leaderboards, team standings, and competition results may be displayed publicly via the spectator
interface. Tournament directors control the visibility of tournament data through platform settings (e.g.,
spectator mode, results release). By enabling public spectator mode, you consent to tournament data being
viewable by anyone.
6.3 Score Data & Audit Trail
GolfStax maintains an audit trail of all score entries, modifications, and deletions for integrity and
dispute-resolution purposes. This data may be retained for the duration of the tournament season and a
reasonable period thereafter.
6.4 Data Retention & Deletion
We retain your data for as long as your account is active or as needed to provide services. You may request
deletion of your account and associated data by contacting us. Some data (e.g., historical tournament
results) may be retained in anonymized form for statistical and archival purposes even after account
deletion.
7. Intellectual Property
The GolfStax name, logo, platform design, source code, algorithms (including team scoring, leaderboard
calculations, and pace-of-play algorithms), and all associated materials are the intellectual property of
the Operator and are protected by applicable copyright and trademark laws.
You may not:
- Copy, modify, distribute, or create derivative works based on the Platform
- Reverse-engineer, decompile, or disassemble any part of the Platform
- Remove or alter any proprietary notices, labels, or marks
- Use GolfStax branding, logos, or trademarks without express written permission
8. Third-Party Services
GolfStax integrates with or may link to the following third-party services:
- Google Sign-In / Google Identity Services: For authentication. Subject to Google's Privacy
Policy and Terms of
Service.
- Email Service Providers: For transactional emails (activation codes, password resets,
notifications). Your email address may be processed by our email delivery service.
- Hosting & Infrastructure: The Platform is hosted on servers located in the United
States.
We are not responsible for the privacy practices or content of third-party services. We encourage you to
review their terms and privacy policies.
9. Disclaimers & Limitations of Liability
9.1 "As Is" Basis
GolfStax is provided on an "AS IS" and "AS AVAILABLE" basis without warranties of any kind, either express or
implied, including but not limited to implied warranties of merchantability, fitness for a particular
purpose, and non-infringement.
9.2 No Guarantee of Availability
We do not guarantee that the Platform will be uninterrupted, timely, secure, or error-free. Service may be
interrupted for maintenance, updates, or circumstances beyond our control (including weather, internet
outages, and force majeure events).
9.3 Score Accuracy
While GolfStax provides tools to facilitate accurate scoring, we do not guarantee the accuracy of any score
data entered by users. The Platform relies on user-submitted data, and the tournament director and/or
official scorer bear ultimate responsibility for score verification.
9.4 Limitation of Liability
To the maximum extent permitted by applicable law, in no event shall GolfStax, its operator, affiliates, or
contributors be liable for any indirect, incidental, special, consequential, or punitive damages, including
but not limited to:
- Loss of data, scores, or tournament records
- Errors in leaderboards, standings, or team calculations
- Missed or incorrect tournament results affecting qualification, advancement, or eligibility
- Loss of revenue or anticipated savings
- Personal injury or property damage arising from use of the Platform
Our total liability for all claims arising from or related to use of the Platform shall not exceed the amount
paid by you (if any) to GolfStax in the twelve (12) months preceding the claim.
9.5 Indemnification
You agree to indemnify, defend, and hold harmless GolfStax and its operator from and against any claims,
liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising from your use of
the Platform, your violation of these Terms, or your violation of any rights of a third party.
10. Pricing & Fees
GolfStax is currently offered free of charge for all program types — schools, clubs,
organizations, coaches, players, parents, and spectators. We reserve the right to introduce paid features or
subscription plans in the future, with reasonable notice. Any future paid features will not retroactively
affect accounts or data created during the free period without consent.
11. Termination
We may suspend or terminate your access to GolfStax at any time, for any reason, including but not limited
to:
- Violation of these Terms of Service
- Fraudulent or abusive activity
- Extended inactivity
- Request by law enforcement or government agency
You may terminate your account at any time by contacting us. Upon termination, your right to use the Platform
ceases immediately. Data may be retained for a reasonable transition period and as required by law.
12. Governing Law & Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of the State of Texas, without
regard to its conflict-of-law principles. Any dispute arising from or relating to these Terms or the
Platform shall be resolved through:
- Informal Resolution: You agree to first attempt to resolve any dispute informally by
contacting us.
- Binding Arbitration: If informal resolution fails, disputes will be resolved through
binding arbitration in Harris County, Texas, conducted in accordance with the rules of the American
Arbitration Association.
You agree to waive any right to a jury trial or to participate in a class action.
13. Changes to These Terms
We reserve the right to modify these Terms at any time. Changes will be effective upon posting to the
Platform. Material changes will be communicated via:
- A prominent notice on the Platform
- Email notification to registered users (where applicable)
- Updated "Last Updated" date at the top of this page
Continued use of the Platform after changes constitutes acceptance of the updated Terms.
14. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or
eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and
effect.
15. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement
between you and GolfStax regarding the use of the Platform and supersede all prior agreements and
understandings.
